How to use this calculator

Formula & method

The calculator follows this logic:

  1. Transport cost — own-car mode: (round-trip distance ÷ fuel economy) × litres-per-unit × fuel price × number of cars. Flat mode: the quoted cost entered. Public transport: ticket price × total travelers.
  2. Accommodation total — cost per night × number of nights.
  3. Meals total — allowance per person per day × meal days × number of persons sharing meal costs.
  4. Fees & misc — match entry fee + referee fee + miscellaneous.
  5. Subtotal — sum of all the above.
  6. Contingency — subtotal × (contingency % ÷ 100).
  7. Grand total — (subtotal + contingency) − sponsorship offset (floored at 0).
  8. Contributing travelers — players + staff (if staff contribute toggle is on).
  9. Cost per player — grand total ÷ contributing travelers (shown separately as cost per contributing person; the "per player" label refers to paying members).

Fuel economy conversion: MPG (UK) uses the imperial gallon (4.54609 litres). km/L and L/100km conversions are handled automatically when you switch units.

Should coaches and staff pay the same share as players?

What contingency percentage should I use?

Most club treasurers use 5–10% for routine away days and up to 15% for longer or less predictable trips (e.g., tournament weekends where catering arrangements might change). If you have firm, fixed quotes for every cost, you can set it to 0%. A small buffer avoids awkward after-the-fact top-up collections.

How do I calculate fuel cost for carpooling own cars?

Multiply the round-trip distance by the number of cars, divide by the fuel economy (MPG or km/L), then multiply by the fuel price per litre. For UK MPG: divide miles by MPG to get imperial gallons, then multiply by 4.54609 to convert to litres. What if some players make their own way there?

If a portion of the squad travel independently (e.g., they live closer to the venue), only include the number of players who are sharing the arranged transport in the "playing squad members" field, or enter the actual transport cost for just the group using it and the total headcount separately. Alternatively, deduct those players' individual transport cost from the overall and adjust the squad number accordingly.

How do I round subs to a practical collection amount?

Use the rounding buttons in the results panel — round up to the nearest £1, £5, or £10. Any surplus over the exact cost goes to the club general fund, which is standard practice. Avoid rounding down, which leaves the club short. The "suggested subs" line shows the rounded figure clearly so you can paste it straight into your team group chat.

Can I use this for tournaments with multiple games over a weekend?

Yes. Set overnight stays to reflect the number of nights, set meal days to cover the full weekend (e.g., 2 for a Sat–Sun tournament), and enter the tournament entry fee in the "match/tournament entry fee" field. The accommodation cost field accepts the total team accommodation bill per night, so multiply per-room rates by the number of rooms before entering.
