How to Use the WGI Color Guard Season Cost Calculator

Fill in every section from top to bottom, or start with the pre-filled defaults and adjust to your program's reality. Costs update instantly as you type.

  1. Program Basics — Enter your member count, payment-plan months, any school or booster subsidy (%), and a contingency buffer.
  2. Program-Level Costs — These are costs the entire program pays and splits among members: show design, music rights, staff fees, facility rent, props, and admin fees.
  3. Per-Member Costs — Uniform, makeup, flags, and hardware that each member needs individually.
  4. Regional Events — Enter how many events you're attending, the group entry fee per event, and travel costs (bus, hotel, meals).
  5. World Championships — Check the box if your group is attending, then fill in WC-specific travel and housing costs.

The right-hand panel shows your total program cost, per-member fee, monthly installment, fundraising goal, and a visual breakdown of where the money goes.

Understanding the Cost Categories

Show Design & Music Licensing: The creative package — original choreography, floor design, and cleared music arrangements — is one of the largest line items, especially for groups competing at the Independent A, Independent Open, or World Class level.

Caption Staff Fees: Covers your caption head (main designer/director), guard technicians who teach at rehearsals, and any remote choreography consultants. Programs competing at higher classifications often invest more here to access nationally recognized instructors.

Equipment (flags, rifles, sabers): Each performer typically needs at least two sets of flags (opening/closer), and hardware performers need one to two pieces depending on the show design. Poles wear down through the season, so a small buffer for replacements is wise.

Travel costs: The biggest variable for most programs. Groups competing across state lines may charter a full coach bus at $1,000–$2,500 per round trip, while local groups may only pay for a school-district vehicle or parent drivers. Hotel costs in Dayton during World Championships week can be higher than normal due to event demand.

Setting Competitive Member Dues

Once you know your per-member cost, use the offset field to reduce it by whatever your school budget, boosters, or sponsor fundraising will cover. The remainder is what you charge members. Spread it over your payment months to find the monthly installment — this is the figure to put in your financial commitment letter.

Common Budget Mistakes

Frequently Asked Questions

How much does a WGI color guard season cost per member?
Costs vary widely by class level and how far a group travels. Scholastic groups competing locally might see $800–$1,500 per member. Groups attending multiple out-of-state WGI Regionals and World Championships often land at $2,000–$4,000+ per member once uniforms, equipment, staff fees, bus transportation, and hotel nights are all included. This calculator lets you enter your program's actual line items and see the true per-member figure.
What are the biggest cost drivers in a WGI color guard season?
Staff and instruction fees and show design (choreography, music licensing) are typically the largest single program-level expenses, often running $10,000–$40,000+ depending on the competitive class. Equipment (flags, rifles, sabers, props) and uniforms add significant per-member costs. Transportation and hotel nights for away events are the next biggest variable, especially for groups traveling to multiple states or to World Championships in Dayton, Ohio.
How do I set member dues using this calculator?
Enter every cost your program will incur for the season. The calculator divides total program cost by your member count and shows the raw per-member fee. Apply a fundraising offset (%) to reduce what each member pays out of pocket, then divide the remaining amount over your season's payment months to get the monthly installment figure — the number that goes in your financial commitment letter.
Does this calculator work for independent (non-scholastic) color guards?
Yes. Independent groups typically have higher per-member costs because they don't benefit from school transportation or district subsidies, but the calculation works the same way — enter the actual costs your program incurs. Simply set the school/booster offset to 0% if you have no institutional support.
Should I include a contingency buffer in my budget?
Experienced directors recommend a 5–15% contingency. Unexpected costs are common: equipment replacement mid-season, an extra hotel night if travel is delayed, last-minute prop repairs, or a higher-than-expected fuel surcharge on the bus. The calculator includes an editable contingency percentage that pads your total before splitting by member count. It's far better to have a surplus at season's end than to issue an emergency dues invoice in February.
What is WGI and when is the season?
WGI (Winter Guard International), founded in 1977, is the premier governing body for indoor color guard, percussion, and winds competitions in the US and internationally. The color guard season runs from roughly January through April, culminating in the WGI World Championships held annually in Dayton, Ohio. Regional events are held on weekends from late January through March, and groups must attend at least one Regional Championship to qualify for World Championships.
How are hotel costs calculated in this tool?
The calculator computes hotel cost as: (member count ÷ members per room, rounded up) × nightly rate × number of nights, for both regional events and World Championships separately. This models the realistic total room bill rather than a per-member estimate, ensuring the group budget is accurate even when rooms don't divide evenly.
Can I save or share my results?
Yes. Use the "Print / Save PDF" button to generate a clean printable summary of your budget. The "Copy CSV" button copies a spreadsheet-ready version of all line items. Your inputs are automatically saved in your browser and encoded in the page URL — copy the URL and anyone with the link will see your exact configuration restored.

Method & Sources: All cost items are user-entered and program-specific. No values are assumed or hardcoded. Hotel room count is computed as ceil(members ÷ members-per-room) × nights × rate. Contingency is applied to the base total before the per-member split. Figures are planning estimates; consult your WGI circuit director and vendors for official fees.
